Document templates and project documentation

Document templates

Document templates are managed in the same way as other templates in Logwise, see Template Management for core template functionality.


Document templates are used to ease the creation of documents and simplify documentation processes by having ready to go templates for different scenarios. Document templates are available in situations where documents can be created in Logwise.

Create a document template

Usually the workflow is to make a copy of an existing document and then make adaptations to the new template. If it is the first time or you want a clean template you should make a copy of the “Empty Document” template in order to get a copy to work on.

Make a copy of a template:

1. Open the template you wish to base your template on, for example the “Empty Document” template then through the menu select the “Make a copy” option


2.Give the copied template a new name


3. For the new template, open the template details section to configure what type and categories this template should have. Type defines what types of placeholders that will be available in the template. “Restrict template usage to list types” defines which list/project types this template will show up for in LogwiseIn the example below we configure a template to use “Insider & Confidential lists” placeholders and only be available for insider projects.


4. Adapt file name and content to your needs, use available placeholders when you want to pull in project specific information in the template. You add a placeholder by typing a curly brace “{“ and then an autocomplete will be shown. A tip is to use the “{CurrentDate} {CurrentTime}” placeholder combination as part of the filename if you want the current date and time to be part of the document that you create.

Manage project documentation

Documents are part of multiple features in Logwise and usually managed through a project. Access the document section either by going through the project menu or in some situations visible directly on the project card.


Access documents through document preview or project menu:

 

Create a new document from a template by going into the document management and then add new item > add new document:



Available templates for this project type will be listed in the dropdown:



Placeholders will be populated with data from the current project/user/situation indicated by the blue placeholders. Make any updates to text etc. and then click save to store the document.


Set up automatic project documentation creation

To set up project documentation that should be created for each insider and/or confidential project then configure it on the organization settings page (top menu > Organization settings) and scroll to either List settings (for insider projects) or Confidential settings (for Confidential projects), the following example will be for insider projects.


Under the section “Customize form inputs and texts” there is an option “Create sub insider list form - Documentation” that allows to connect a documentation template to the process of creating an insider project in Logwise. Add a name for this documentation step, some information/instructions for admin on how to fill in the documentation and then finally the template you wish to use, click the save button when you are done.




When creating an insider project the set up documentation will be displayed, placeholders will be populated from the current project and when creating the project the project documentation will be created and stored on the project.
